How long do custom patches take? Production typically runs about 3 to 4 weeks after you approve the proof, confirmed on your quote. Around that sit a few business days for the quote and the proof, the time you take to approve it, and UPS transit from Holly Hill, Florida. Starting five to six weeks before you need the patches in hand leaves a comfortable margin.
This guide breaks the timeline into its stages, explains what moves each one, and shows how to plan back from the date that matters to you.
How long do custom patches take, stage by stage
These are typical figures, not a guarantee. Your quote carries the exact dates for your job.
| Stage | Typical timing | What moves it |
|---|---|---|
| Quote | 2 to 3 business days | Having the size, quantity, colours, backing and artwork ready |
| Proof | Usually 1 to 3 business days after artwork | The construction and how much redraw work the artwork needs |
| Your approval | Depends on you | How quickly the right person signs off in writing |
| Production | About 3 to 4 weeks after proof approval | The construction and the factory schedule |
| Rush production | Around 10 business days, when the factory can hold it | Factory capacity, quoted separately |
| Shipping | UPS transit to your address | The destination and the weight of the order |
The production clock starts on the day you sign off on the proof, not the day you first contact us. That one detail explains most missed dates: time spent on revisions and approvals comes before production, not alongside it.
What happens at each stage
The quote
Send the job through the quote form with the size, quantity, colours, backing, artwork and your in-hands date. We reply within one business day. Brad sends the job to two or three factories that make that construction, and we pick the one that holds your date. You get one quote built on the factory price within 2 to 3 business days.
The proof
Once you accept the quote, the artwork is redrawn for its construction and a proof is prepared, usually 1 to 3 business days after we have the artwork. A clean vector file needs less redraw work than a small image or a photo, which can make this stage quicker.
Approval
This stage is entirely in your hands. Check every word, name, number and date, compare the colours with your references and confirm the size. Nothing goes into production until you approve the proof in writing.
Production and shipping
Once the proof is approved, the job moves into production on the schedule that gets you to your in-hands date, typically about 3 to 4 weeks. Finished patches ship straight to you by UPS from Holly Hill, Florida.

What makes a custom patch order take longer
Most delays happen before production starts, and most of them can be avoided.
- Missing details. A request without a size cannot be priced. Every question we have to send back adds a day or two to the quote.
- Artwork that needs heavy redraw. A tiny logo copied from a website or a blurry photo takes longer to redraw than a vector file.
- Several rounds of proof changes. Each revision means a new proof, and the production clock has not started yet.
- Slow internal sign-off. Waiting for a committee or a manager to approve the proof can cost a week on its own.
- An unclear in-hands date. Without a date on the request, the job cannot be scheduled against it, and the factory chosen may not be the one that holds your date.
- Changes after approval. Production is scheduled against the approved proof, so a change means a revised proof and can move your in-hands date.

Can custom patches be made faster?
Rush production of around 10 business days is possible when the factory can hold it. It is never assumed: tell us your in-hands date on the quote, and we will say plainly whether rush is possible for your construction and quantity. Rush is quoted separately, so you can weigh it against moving your date.
Rush depends on the factory schedule at the time you order, so the answer for one job may differ from the next. Asking early, with your artwork and in-hands date ready, gives the best chance of a yes.
Treat rush as a fallback, not a plan. If your in-hands date allows for standard timing, you avoid rush cost altogether, which is often the easiest saving on the whole order. Our guide to what drives custom patch cost covers the other factors in the price.
How to plan back from your in-hands date
Your in-hands date is the day the patches must be with you, not the day of the event. If patches need sewing onto uniforms or jackets, the in-hands date is earlier still. Work back from it like this:
- Write down the in-hands date, allowing time to attach the patches if needed.
- Count back about 3 to 4 weeks for production, plus UPS transit to your address.
- Allow time for your own review and written approval of the proof.
- Allow 1 to 3 business days for the proof and 2 to 3 business days for the quote.
- The result is the latest day to send your request. Aim a week earlier than that.
Adding those stages together, starting five to six weeks before your date gives a comfortable margin. For seasonal needs such as a new school year, a tournament or a ceremony, start earlier still. Our step by step guide on how to order custom patches covers the full request.
How long does a reorder take?
A reorder of the same patch skips setup, because the digitizing stays on file. Reference your original order or the artwork you sent the first time and we requote the run at the current factory price. Exact reorder turnaround depends on the construction and is confirmed on your quote, so give your in-hands date as you would on a first order.
