To reorder custom patches, tell us it is a reorder, reference your original order or the artwork you sent the first time, and confirm the quantity, any changes and your in-hands date. The digitizing stays on file, so a reorder of the same design skips the setup. We requote the run at the current factory price, and the new patches are made to match the ones you already have.
Below we cover what to send, what stays on file, how to handle small changes, how to reorder a patch first made somewhere else, and when to place the order so you never run out.
Why reorders are simpler than a first order
A first order carries a lot of decisions: construction, size, coverage, thread colours, border, backing and the work of turning your artwork into a stitch file. On a reorder, most of that is already settled and recorded.
For embroidered patches, the stitch file made for your first run stays on file. A reorder of the same patch skips that setup and comes out the same as the last one. Across the catalog, digitizing and molds stay on file, so a reorder of the same artwork usually carries no setup line on the quote.
Some products carry no setup or digitizing fee even on a first order: hand embroidered bullion patches, embroidered luggage tags, woven labels and embroidered epaulet covers.
What to send when you reorder custom patches
A reorder request is short, but each line saves a question coming back to you.
- That it is a reorder. The Reorder link at the top of every page opens the quote form with a box already ticked to mark it as one.
- Your original order details, or the artwork you sent the first time.
- The finished size of the existing patch, width and height.
- The quantity, or two or three quantities to compare.
- Any changes, however small.
- Your in-hands date.
- The ship-to address, if it has changed since the last order.
If you still have the old quote or proof, keep it in front of you while you fill in the form. Checking the construction, coverage, thread colours, border and backing line by line is the simplest way to make sure the new run matches the old one.
What stays on file, and what is confirmed again
Some parts of a reorder carry straight over. Others are set fresh each time, because they depend on the factory, the calendar or your quantity.
| Item | On a reorder | What it means for you |
|---|---|---|
| Digitizing for embroidered patches | Stays on file | The reorder skips that setup |
| Molds for pins and coins | Stay on file | Usually no setup line on the quote |
| Price | Requoted | Priced at the current factory price |
| Quantity | Confirmed again | Custom runs start from 100 pieces, confirmed on your quote |
| Timing | Confirmed on the quote | Exact reorder turnaround depends on the construction |
| Changes to the design | New proof | You approve it before production |
A reorder is requoted rather than copied from the old invoice. Materials and freight costs move over time, so the number can differ from last time even with the setup removed. Asking for two or three quantities on the same quote shows you where the price breaks fall, and larger runs generally lower the cost per patch.
Making small changes on a reorder
A reorder is a good moment for updates. Say exactly what is changing on the request, because any change to the artwork, size or colours goes through a new proof before production, so you see what will be made.
- Text changes. A new year, a new name on a memorial patch or an updated location. Small edits like these are common and the proof shows them before anything is made.
- Backing changes. Moving from sew-on to hook-and-loop, for example, keeps the artwork but changes the build. Mention it so the quote reflects it.
- Size changes. A design stitched at 2 in needs different decisions from the same design at 4 in, so a new size is closer to a fresh setup than a straight repeat. Mention it up front.
- Colour changes. Give the new colour references. Thread is matched to the closest available shade, and the proof is your chance to check it.
Reordering a patch first made somewhere else
You can still reorder a patch that another supplier made, or one that nobody has the files for any more. Send a clear photo of the old patch with its size. We redraw it and you approve the proof before anything is made.
A good photo is taken square on, in even light, with the patch filling the frame. If you can, send a physical sample as well, or tell us the thread colours you see. The proof is the moment to compare the redraw against the patch in your hand, letter by letter. Our patch FAQ covers matching an existing patch in brief.
Once that first run with us is made, the new file stays on file, so every reorder after it follows the simple route above.
When to reorder custom patches
The most common reorder problem is leaving it too late. New starters, replacement garments and lost jackets use up spares faster than most people expect, and a small reorder becomes urgent.
Allow time for the quote, a proof if anything has changed, and production. Custom production typically runs about 3 to 4 weeks after proof approval, and exact reorder turnaround depends on the construction, confirmed on your quote. A rush of around 10 business days is sometimes possible when the factory can hold it, but it is never guaranteed. Our guide to how long custom patches take breaks the timeline down stage by stage.
- Count what is left, not what you started with. Check the stock cupboard before a busy season, not during it.
- Set a reorder point. Pick the number of spares that covers your usual use over the time a reorder takes, and reorder when you reach it.
- Combine needs. If you will need more within the year, one larger order often costs less per patch than two smaller ones.
- Add related items. A cap patch or a second design can go on the same request, each quoted on its own quantity.
Reordering pins, coins, lanyards and labels
The same approach works across the catalog. Reference the original order or artwork, confirm the quantity and any changes, and give your date. Molds stay on file for pins and coins, so a repeat of the same design usually carries no setup line. For lanyards, say whether the run is a one time order or a reorder when you request the quote.
Woven labels are usually ordered against the same run as the product they go into, so it makes sense to reorder labels at the same time as the garments they are sewn into.
