Medals vs trophies: which award to order

Medals suit awards that many people receive and wear; trophies suit a few top places that stay on a shelf. Here is how to decide, and when to use both.

Choose medals when many people receive the award, when you want it worn on the day and kept in a drawer or on a hook for years, and when shipping and storage matter. Choose trophies when only a few places are awarded, when the award should sit on a shelf or in a team case, and when each piece needs its own engraved name. Many events use both: medals for every finisher or player and a small number of trophies for the champions. One note up front: we make custom medals, not trophies, so this guide is about choosing the right award, not selling you both.

Below we compare the two on the points that actually decide the order: who gets one, what it costs per person in relative terms, how it travels, how it is personalized and how long it lasts.

Start with who receives the award

The fastest way to decide is to count recipients.

  • Every participant: finishers at a 5K, every player in a youth league, every student on the honor roll. Medals are the norm here. They are compact, they come in one design for everyone, and they suit quantities in the hundreds.
  • Placings within divisions: first, second and third across age groups or weight classes. Medals in gold, silver and bronze finishes handle this cleanly from one design.
  • A handful of top honors: the overall champion, the team title, the coach of the year. A trophy has the presence these moments call for, and the low quantity suits a piece that is assembled and engraved one at a time.

Cost per recipient, in relative terms

We do not publish prices, because every medal job is quoted from the factory price, but the logic of cost is easy to follow. A custom medal carries a one-time setup for the die, then a per-piece price that falls as quantity rises. That structure suits large runs of one design. Custom medal minimums start from 100 pieces, confirmed on your quote.

A trophy is usually built from stock components, so there is little setup, but each piece costs more in materials and assembly, and individual engraving adds labor. That suits small quantities. For a few dozen awards or fewer, trophies or stock medals are often the realistic choice. For hundreds, a custom medal usually gives each recipient a better piece for the same budget, because the setup is spread across the run.

Design freedom and what the award says

A custom medal is your artwork: your logo, your course map, your mascot, cut to a custom shape if the design calls for it, in die struck or die cast metal with enamel colours and plating such as gold, silver, antique bronze, antique brass or nickel. The ribbon can be printed or woven with the event name. That makes medals a strong carrier for an event brand that people will photograph and share.

Trophies tend to give you a figure, a cup or a column from a catalog, with your event on a plate or a small insert. They look grand, but they look like other trophies. If you want an award that could only come from your event, a custom medal gives you more room.

Shipping, storage and handing out

Logistics often settle the question for event organizers. Medals arrive flat in cartons, store in a closet, and fit in a volunteer's tote at the finish line. Trophies take up a table, need careful packing and can break in transit or at the venue.

On the day, medals are fast to hand out: a volunteer drapes a ribbon over a finisher's head in a second. Trophies need a presentation moment, which is right for a champion and slow for a field of five hundred.

How long each award lasts

A metal medal survives being dropped, packed in a gym bag and handled by children. The plating and enamel hold up to years on a hook. Trophies last well on a shelf but can snap at the figure or the column if knocked over. As keepsakes, both work: medals are what runners, swimmers and students collect and hang in rows; trophies are what teams line up in a case.

There is also a question of who keeps the award. A team trophy usually stays with the club, the school or the coach, so individual players walk away with nothing of their own. Giving each player a medal as well as presenting the team trophy solves that, and it is a common pattern at youth tournaments, where every child expects to take something home.

When to use both, and other options

Most leagues and tournaments end up with a mix. A sensible pattern:

  • A participation or finisher medal for everyone, in one custom design.
  • Placement medals in gold, silver and bronze finishes for each division, from the same die.
  • A small number of trophies for the overall or team champions.
  • A custom coin or patch as a lasting extra for volunteers, officials or sponsors.

Medals are not the only wearable award. Runners collect finisher patches, and departments present coins. See our guides to marathon and run club patches and custom challenge coins if a different award fits your group. For schools, our post on academic medals covers honor roll and graduation programs.

Ordering custom medals for your event

Medals have a fixed date attached to them, so work backward from the event. Allow 2 to 3 business days for the quote, 1 to 3 business days for the proof after artwork, about 3 to 4 weeks of production after you approve the proof, and shipping by UPS from Holly Hill, Florida. Rush, around 10 business days, is sometimes possible when the factory can hold it. All of these are typical and confirmed on your quote.

Our guide to race and tournament medals walks through sizes, ribbons and quantities by division. When you are ready, see our custom medals and awards and send the artwork, quantity and event date for a quote.

Frequently asked questions

It depends on quantity. Custom medals carry a one-time setup and a per-piece price that falls with volume, so they tend to work out well for large groups. Trophies have little setup but cost more per piece, which suits small numbers.
No. We make custom medals, coins, pins, patches and related items. Many organizers order medals from us and source a few trophies locally for the top places.
Yes. A single die can run in gold, silver and bronze finishes, and the ribbon can show the division or place. Each finish is its own quantity, so list them separately on your quote request.
Custom medals start from 100 pieces, varying by job and confirmed on your quote. For very small award counts, a trophy or stock award may be the better fit.
