Custom embroidered luggage tags are your logo stitched on heavy duty twill, with a clear vinyl ID window on the back and a strong PVC cord to fix it to a bag. Our standard tag is 4 1/2 x 2 1/2 in, with a round shape available, and there are no setup or digitizing fees on any quantity. They make a practical gift for teams, travel groups, clubs and clients because they get used every trip.

The ID window is what turns a branded item into something people keep on their bags. The traveller fills in the card, the window protects it, and the embroidered side faces out.

Embroidered tags compared with other types

Luggage tags come in several materials across the industry. Here is how embroidered tags generally sit against the common alternatives:

  • Printed tags can show photos and gradients, but the print sits on the surface and can scuff on a baggage belt. Embroidery is part of the tag, so the logo keeps its texture and colour.
  • PVC tags are moulded and wipe clean. They suit bold, simple logos but feel more like a promotional item than a keepsake.
  • Leather tags look premium but usually carry a stamped or debossed logo in one tone, so brand colours are lost.

Embroidered twill sits in a useful middle ground: full thread colour, a raised texture people recognise from patches and uniforms, and a soft tag that is easy on the other bags around it.

Choosing a shape

We offer three luggage tag shapes:

  • Standard: the 4 1/2 x 2 1/2 in rectangle. It gives the most room for a logo plus a name or line of text, and it is the shape most tour groups order first.
  • Round: the same twill and ID window, cut round. It suits circular crests, seals and mascot badges and reads well hanging from a strap.

If your logo is wide and has text, the standard rectangle usually works best. If it is a compact emblem, a round tag makes better use of the space.

Designing a tag that reads on a bag

The embroidered design lives on the front, and the back is given over to the ID window. Plan the front as the face of the tag and keep everything you need on it.

Leave room for the strap slot

The cord passes through a slot near one end of the tag. Keep text and fine detail clear of that area so nothing is crowded or partly covered when the cord is threaded through.

Keep colours and text bold

Luggage tags are seen from a few feet away, often in motion. Strong contrast between the twill colour and the thread colour does more than extra detail. As general guidance for embroidery, keep lettering at about 1/4 in tall or larger and avoid lines thinner than about 1 mm, since thinner strokes do not stitch cleanly.

Limit the message

A logo and one short line, such as a team name, a year or a club motto, is usually enough. Personal details belong on the ID card, not in the embroidery, so one design can go to every member of a group.

Who orders embroidered luggage tags

  • Sports teams and booster clubs: one tag per player bag, so team gear is easy to spot on a bus or at an away game.
  • Schools: class trips, band and choir travel, and graduation gifts.
  • Golf clubs: member tags for golf bags and tournament gifts.
  • Travel and tour groups: a tag on every bag so the group's luggage is easy to gather at arrivals.
  • Businesses: client gifts, sales incentives and new hire kits.
  • Clubs and events: member welcome packs and event giveaways.

Planning quantities and timing

Count the people who will get a tag, then add a few for latecomers, coaches, chaperones and replacements. A top-up order later still takes a full production run, so ordering spares up front is usually simpler than going back for a handful.

Timing matters most for travel. A tag that arrives after the team bus leaves is no use, so set the in-hands date a few days before the trip, the tournament or the welcome event. Allow 2 to 3 business days for the quote, a few days for the proof, about 3 to 4 weeks of production after written approval and then UPS transit from Holly Hill, Florida.

What to send for a luggage tag quote

  • Shape and size: standard or round, and the finished size.
  • Quantity, ideally two or three levels such as 100, 200 and 500 to see the price breaks.
  • Thread colours, and the twill colour you want behind them.
  • Cord: the PVC cord is standard, so mention it if the job needs something else.
  • Artwork as AI, EPS, PDF or PNG, or a photo of an existing tag.
  • Your Patch Studio mockup, if you made one.
  • Your in-hands date, for example the day before a trip or a season opener.
